Summary: We collect only what is necessary to deliver our services. We do not sell your data. We comply with UK GDPR and the Data Protection Act 2018. You have the right to access, correct, or delete your data at any time.

1. Data We Collect

Sparkwise collects personal data only to the extent required to deliver our mentorship services.

Information You Provide

  • Name, email address, and contact details (WeChat ID, WhatsApp number, phone)
  • University name, department, year of study, and student role
  • Academic background and challenges
  • Communication preferences

Information Generated During Services

  • Session notes and progress summaries created by your advisor
  • Written reports shared with parents or guardians (with student consent)
  • Records of communication via email or agreed messaging platforms

2. How We Use Your Data

We use your personal data solely for:

  • Delivering the mentorship and advisory services you have enrolled in
  • Communicating with you regarding your service, scheduling, and progress
  • Producing written reports for parents or guardians where explicitly consented
  • Improving our service quality through anonymised internal analysis
  • Complying with our legal obligations

We do not use your data for unsolicited marketing.

3. Data Sharing

We do not sell, rent, or trade your personal data. We may share limited data only:

  • With parents or guardians — only where explicit written consent has been provided
  • With trusted service providers — bound by data processing agreements
  • As required by law — if compelled by a court order or regulatory authority

4. Retention Periods

We retain personal data for the duration of your service engagement, plus 12 months thereafter. After this period, your data is securely deleted or anonymised.

Session notes and progress reports are retained for 24 months from the end of your Track cycle, unless you request earlier deletion.

5. Your Rights

Under UK GDPR, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Rectification — ask us to correct inaccurate or incomplete data
  • Erasure — request deletion of your data
  • Restriction — ask us to limit processing in certain circumstances
  • Portability — receive your data in a structured, machine-readable format
  • Objection — object to processing based on legitimate interests

To exercise any of these rights, please contact info@sparkwise-global.com. We will respond within 30 days.

6. Security

We implement appropriate technical and organisational measures to protect your personal data. All data is stored on encrypted systems. Access is limited to authorised team members on a need-to-know basis.

In the event of a data breach, we will notify you and the ICO within 72 hours.
